Main Responsibilities:
We are looking for someone to assist in the administration area. The main tasks include:
- Administrative Support:
- Handling incoming correspondence and phone calls.
- Organising and filing physical and digital documents.
- Supply Management:
- Managing office supply purchases and replenishment (stationery, basic equipment).
- Keeping the inventory of materials up to date.
- Meeting and Event Coordination:
- Booking meeting rooms and ensuring everything is set up.
- Assisting in the planning of internal events or team meetings.
- Basic Accounting Assistance:
- Carrying out small administrative tasks related to finance, such as recording expenses and preparing simple reports.
- Assisting with invoice management and basic payments.
- Supplier Relations:
- Communicating with suppliers to manage orders and obtain simple quotes.
- Coordinating maintenance services when necessary.
- Customer Service and Reception:
- Welcoming visitors and acting as the first point of contact in the office.
- Assisting employees and visitors in the office.
- Compliance with Basic Office Policies:
- Ensuring adherence to internal office policies and supporting the implementation of workplace safety policies.
Key Skills:
- Effective Communication: Ability to professionally handle calls, emails, and visitors.
- Organisation and Planning: Capability to maintain order in files, schedules, and supplies.
- Proactivity: Willingness to anticipate the needs of the team and the office.
- Basic Office Software Knowledge: Proficiency in Microsoft Office (Word, Excel, Outlook) and task management platforms, SAGE, etc.
- Attention to Detail: Accuracy in managing simple administrative and accounting tasks.
Requirements:
- Education: Student of administration or accounting, with the ability to sign a placement agreement.
- Experience: Preferably 1–2 years in administrative or support roles.
- Languages: Basic or intermediate knowledge of English or Italian is preferred.
